How to Turn a Site Visit Into a Clear Contractor Quote
A useful contractor quote starts before the calculator opens. The site visit is your chance to capture the details that will be difficult to reconstruct later: what the client expects, what you can see, and what still needs checking.
Describe the finished job
Write one plain sentence about the result the client wants. Then break it into specific tasks. “Refresh the spare room” leaves room for assumptions; “prepare and paint the walls, with trim priced separately” gives both people something concrete to discuss.
Record measurements with their units, the surface or material involved, and any access constraints. Mark uncertain measurements as needing confirmation. A precise-looking number is not useful if nobody remembers how it was obtained.
Separate included work from open questions
Use three short lists: included, excluded, and awaiting a decision. Preparation, disposal, cleanup, materials and moving furniture are worth discussing explicitly. If concealed damage could change the work, say what would trigger a revised quote instead of guessing that it will not appear.
Before leaving, read the scope back to the client. A two-minute check can reveal that you pictured different finishes or different rooms.
Check the numbers after the scope is clear
Build the estimate from the tasks you recorded. Review labour, materials and other direct costs, then check the intended margin. Markup and gross margin describe different calculations; avoid treating the two percentages as interchangeable. Review the final document from the client’s perspective: can they see what the price covers and what happens if the work changes?
A simple workflow on your phone
ScopeBid is our app for preparing estimates offline, reusing job details and rates, and exporting client-ready PDFs. The first three quotes and PDF exports are free. Optional Pro adds features including invoicing and job costing. It records payments rather than processing them.
Try a small, familiar job first, compare the result with your own calculation, and check every line before sending. See ScopeBid on the App Store.
